As part of that promise, we're excited to announce a change in how members submit Unemployment Compensation Quarterly Wages. With the new reporting system, you will experience a simplified and more secure process. Our recently improved secure mail system located at Primex3 is available to Primex3 members at no additional charge. You will be able to securely send your quarterly wages electronically using the sample Excel spreadsheets Ñ saving you time and money while protecting your information. After you completely fill in all of your quarterly wage information on the NHES Wage Reporting Excel spreadsheets (following the instructions below), you should submit the file to Primex3 through our secure mail site to ensure employee confidentiality and to reduce employer liability. To learn more about our secure mail site, click the instructions to the right. If you are already a registered user and have used our secure mail site, simply click on the "Secure Upload Site" link on the right to login and submit your quarterly wage file. Use of the secure mail site requires an invitation to register. All current and new members should have received an invitation to register on the secure mail site. NHES Required Format Each record shall contain the following data elements:
The record layout of the NHES format is as follows:
The Employee Social Security Number must be recorded as a 9 byte numeric field.
The Name of the Employee must be limited to and recorded as a 20 byte alphanumeric field.
Leading titles must be omitted from the name field. Any leading letters (O, D, etc.) must not be separated from the rest of the last name by a blank but may be separated by an apostrophe. The name will be formatted with last name first. Do not use lower case letters. Suffix values, such as SR, JR and III, must follow the first name. Examples:
JONES H D The Gross Wages paid to an Employee during the Calendar Quarter covered by the report must be in a 9 digit numeric field.
Should the gross wages of an employee exceed the 9 positions allocated; the balance will be reported in a second record for that employee. The amount of wages reported in the second record must not be equal to the amount in the first record. If there are no wages for an employee, just delete the line. The State Employer Account Number must be recorded as a 9 byte numeric field.
The completed Excel spreadsheet file should be submitted by the 15th of the month following the quarter to Primex3 through our Secure Upload Service to ensure employee confidentiality and to reduce employer liability. PLEASE NOTE: Total Wages on the WAGE REPORTING TEMPLATE and the C-2 FORM need to AGREE.
